Privacy Policy

What we collect, why we collect it, and what we do with it.

HashTech LLC ("we", "us") builds and operates custom software for its clients. This policy covers this website and the client portal hosted on it. Software we build and operate for a client under a separate agreement is governed by that agreement, not this policy.

1. Information we collect

We collect only what the site actually needs to function:

  • Enquiries. When you submit the contact form we receive the name, email address and message you enter, plus the page you submitted from.
  • Client portal accounts. If we open an account for you, we hold your name, email address and a hashed password. We never store your password in a readable form.
  • Billing records. Invoices, retainer terms, payment status and contracts. Card details are entered directly with our payment processor and never reach our servers.
  • Support tickets. The messages you and our team exchange, and any files attached to them.
  • Files you upload. Attachments on tickets and invoices, payment proof and signed contracts.
  • Server logs. Our hosting providers record standard request data, including IP address, for security and reliability.

2. How we use it

To answer your enquiry, deliver and support the work you have engaged us for, issue and collect invoices, and keep the portal secure. We do not sell your personal information, we do not share it for advertising, and we do not use it to build advertising profiles.

3. Cookies

We set one cookie, and only after you sign in: a session cookie that keeps you authenticated in the client portal. It is strictly necessary for the portal to work and is cleared when you sign out.

This site runs no analytics, advertising or tracking scripts, so there is nothing to opt out of and no consent banner to click through.

4. Who else processes your data

We keep this list short on purpose. Each of these providers processes data only to deliver its part of the service:

  • Vercel — website hosting and delivery.
  • Railway — hosting for our application backend and database.
  • Stripe — payment processing. Stripe collects and holds card details directly; we receive only the outcome of a payment and the last four digits.
  • Cloudflare — R2 storage for uploaded files, and Turnstile, which checks that the contact form is submitted by a person rather than a bot.
  • Cloudinary — image delivery.

We will also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim.

5. How long we keep it

Enquiries that do not become engagements are kept for up to 24 months. Records connected to an engagement — invoices, contracts, tickets and their attachments — are kept for the life of the engagement and for as long afterwards as tax and accounting law requires, typically seven years. You can ask us to delete anything we are not required to retain.

6. Security

Traffic is encrypted in transit with TLS. Portal access requires authentication, sessions are held in a signed cookie, and passwords are stored hashed. Uploaded files are written to private storage and served through short-lived links rather than public URLs. No system is perfectly secure, and we do not claim otherwise.

7. Your rights

Wherever you live, you can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Depending on where you live you may also have the right to object to or restrict how we use it, to receive it in a portable format, or to complain to your data protection authority.

We do not sell or share personal information as those terms are defined under California law, and we will not treat you differently for exercising any of these rights. To make a request, email us at contact@hashtech.llc. We will respond within 30 days and may need to verify your identity first.

8. International transfers

We are based in the United States and our providers process data there. If you contact us from outside the US, your information will be transferred to and processed in the US.

9. Children

This site is intended for businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

10. Changes

If we change this policy we will update the date above. Material changes affecting existing clients will be communicated directly.
